A painting crew needs more than a move-in date to plan an apartment turn. The useful details are the condition of the unit, the surfaces included, the paint specification, access and who can approve changes.

This checklist helps property teams prepare a clear painting handoff. It covers the painting portion of a turnover, rather than the full maintenance, leasing or move-in process.

1 Record the dates that matter

Start with three dates: when the unit becomes available, when painting can begin and when the finished work needs to be handed back.

Those dates may be different. A unit might be vacant but still need another trade’s work before painting can proceed. Tell the painter about repairs, installations or inspections already scheduled, and identify any dates that cannot move.

Treat the requested deadline as an input to the quote. Confirm the painting schedule after the scope and availability have been reviewed, rather than assuming every unit requires the same amount of time.

2 Make a room and surface list

“Paint the apartment” can mean different things to different people. Walk through the unit and identify the rooms and surfaces included:

  • Walls, with touch-up areas or full-wall repainting identified.
  • Ceilings, if included.
  • Doors, frames, baseboards and other trim.
  • Closets and other easily overlooked areas.
  • Surfaces excluded from the painting scope.

Pair the list with clear photographs. A wider photo shows where a condition occurs; a closer image can help explain what needs review. Remove resident information and personal items from photos before sharing them.

3 Separate preparation from the finish coat

Record visible holes, dents, peeling areas, stains and other conditions that could affect preparation. Ask what repair work is included in the quote and what requires separate assessment or approval.

If there is a leak or an unresolved moisture problem, flag it rather than treating it as a paint-color issue. Agree who owns the underlying repair before setting the painting sequence.

For pre-1978 housing, confirm whether the proposed work falls under lead-safe renovation requirements before disturbing painted surfaces. Work covered by EPA’s RRP rule requires appropriately certified firms; ordinary painting scheduling is not a substitute for that review. EPA contractor guidance

4 Share the actual paint specification

A color nickname is not a complete specification. If available, provide the manufacturer, product, color name or number, sheen and the surfaces where each finish belongs.

Say whether this is a same-color refresh or a color change. Confirm who supplies the materials, who handles pickup and where any agreed leftover paint will be kept. Keeping those decisions with the work order makes the next turn easier to discuss.

Touch-up work deserves its own scope decision. Matching color and sheen and using the original application method can improve consistency, but appearance still needs to be checked. Sherwin-Williams touch-up guidance

5 Plan access before the start date

Identify the person who will arrange entry and the window when the crew can work. Include relevant loading, parking, elevator and occupied-area restrictions.

Keep security details out of a public inquiry form. Share lockbox codes or other sensitive access information through an agreed direct channel once the project arrangements are confirmed.

Also clarify whether the unit will be empty. Furniture or remaining belongings can change the protection and access plan.

6 Choose one approval and update process

Name the person who can answer questions and approve additional work. Agree how the painter should report completed units, work in progress and issues that need a decision.

A simple status record can use four fields:

Unit referenceAgreed scopeCurrent statusDecision needed
Your internal unit referenceRooms and surfacesNot started, underway or ready for reviewScope question and responsible contact

This is a planning template, not a record of a Zephyr project. Keep resident names and access codes out of shared status summaries.

7 Define the painting handoff

Before work begins, agree who will review the finished scope and how any remaining items will be recorded. Clarify cleanup, leftover materials and the next trade’s access.

Painting completion, product recoat time and readiness for subsequent use are different considerations. Follow the selected product’s instructions and the agreed project plan instead of assuming a universal drying window.

Your short handoff checklist

  • Room-and-surface list, condition notes and photos.
  • Paint specifications and material responsibilities.
  • Earliest access and target handoff dates.
  • Other scheduled work and building restrictions.
  • Approval contact and preferred update method.
